· Google User Data: When you connect your Google account, we access your Google Calendar data (read-only) to help integrate meeting information with your recordings and transcripts. We collect calendar event titles, descriptions, participant information, and meeting times solely to enhance your meeting documentation experience.

· Audio and Text Data: We collect audio recordings and text transcripts created using our app to provide transcription and summarization services.

· Usage Data: We may gather data about your interactions with our app, including features used, time spent on the app, and other related information.

Purpose of Data Collection and Use

The collected data is used for:

· Providing Services: To enable access to your recordings and transcripts from any device, to store them securely in cloud storage, and to integrate meeting information from your Google Calendar to enhance transcription context.

· Service Improvement: To enhance app functionality and user experience through analysis of usage patterns and feature utilization.

· AI/ML Processing: We use secure external AI/ML services to process your audio data and transcripts to provide transcription, summarization, and meeting insights. This AI/ML processing is separate from and unrelated to our Google Calendar API access. All external AI/ML services we use maintain industry-standard security practices and data protection measures.

Google API Data Use and Limited Use Compliance

Flownote's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

· We only access Google Calendar data (read-only) to integrate meeting information with your recordings

· Google user data is used solely for providing and improving user-facing features of our application

· We do not use Google user data for serving advertisements, selling to data brokers, determining creditworthiness, or any other prohibited purposes

· Google user data is not transferred to third parties except as necessary to provide our core service functionality

Data Sharing and Disclosure

We adhere to strict data privacy standards. We do not sell, rent, or trade your personal data to third parties. Google user data is not shared with third parties except:

· When necessary to provide our core service functionality (such as cloud storage for your recordings)

· When required by law or to protect our rights and safety

· With your explicit consent

Data Retention and Deletion

We retain your personal information, including Google user data, for the length of time needed to fulfill the purposes outlined in this privacy policy unless a longer retention period is required or permitted by law. Specifically:

· Account Information: Retained while your account is active and for a reasonable period after account deletion to comply with legal obligations

· Google Calendar Data: Accessed in real-time and not permanently stored on our servers beyond what is necessary for immediate service functionality

· Audio Recordings and Transcripts: Retained until you choose to delete them or close your account

· Usage Data: Retained for up to 2 years for service improvement purposes

When the data retention period expires for a given type of data, we will securely delete or destroy it. You may request deletion of your data at any time by contacting us at support@dentlabs.xyz. Upon receiving a valid deletion request, we will delete your data within 30 days, except where retention is required by law.
